This guide will cover how users can create bookings in Holiday Planner.
This relies on prior considerations by your team and the set-up of day types, user quotas, Zones and holiday groups.
(Managers can create bookings on behalf of users through a different mechanism, as described here)
Creating a booking
1. Head to the front end of the Holiday Planner (Applications > Holiday Planner)
2. Your quota and other rules based on the Zone & holiday group you are in is shown
3. Create a new booking using the 'Request abscene/leave' button

4. A pop-up will appear; fill out the details of your booking.
Please note: the options that are required here will depend on the day type chosen and its configuration by administrators.

- Start date: Select the start date
- End date: Select the end date
- Leave Type: Select the day type of the booking
- Day part: Select from full days or half days (if allowed for the chosen day type)
- Comment: (If required) Enter a description to appear alongside the booking; otherwise leave blank
5. Click 'submit' to create the booking
5a. If the day type chosen d did NOT require approval, the booking is automatically approved, and your planner and requests list will be updated to reflect this. If there was a change in quota for this booking, it will also be applied and reflected in your quota area on the front end of the holiday planner.
5b. If your day type DOES require approval, at the point of booking creation, a notification will be sent to the manager (or substitute) of the holiday group you are in. They can either accept or reject the booking. Either way, you will receive a notification of the outcome so further action can be taken if necessary.
Rejected: The booking is cancelled. The user can attempt to rebook for the same or different dates.
Approved: The booking is accepted. The user's planner and quota (if applicable) update to reflect this.
6. The booking will remain unless requested to be cancelled by the user , and this is approved by the manager.
View all requests
Open the 'My holidays' area on the front end of Holiday Planner (under the 3 dots)

The visual planner can be seen in 'My holidays' with bookings represented by the characters and colours set by administrators:

The 'Requests history' tab will list all requests made by the user, whether approved, rejected or cancelled.
This can be downloaded to PDF if required.
