What is the Holiday planner?

The Holiday Planner allows users to request different day types within a set quota , e.g., holidays, sickness, overtime, remote working, etc.

If certain day types require approval to book, managers of the holiday group a user is in will be able to accept/reject them.

There are important considerations for your team about how to set this up best for your user base. Work through our series of guides to understand more.

Other features the planner includes are explained below, as well as some limitations, so your team are informed moving forward.
 

What the planner can do
 

  • Support day types your company want to use (Holiday, Sickness, Working Remotely, etc)
    Day types are configured on the admin side of the application by administrators as explained here
     
  • Support day types that give the user a day back in their quota
    Day types can be set to add to a user's quote rather than take away e.g. days in leiu
     
  • Half days can be booked
    Users can book a half-day for a day type using the AM/PM selections
     
  • Weekend pattern adjustment to reflect different working patterns
    The pattern of working days can be altered per Zone so that patterns which are not 5 days Mon-Fri can be incorporated. 
     
  • Allowing unused days to be carried forward to the next holiday year
    Choose whether unused days can be carried forward and how long they can be used before expiring (if at all)
     
  • Different quotas per user (if needed)
    Quotas are set by administrators and can be adjusted at any time.
     
  • Allowing users to view each other's holidays or not
    via the 'My team' definition set in the general configuration of the planner by an administrator. Users in the same holiday group or those with the same holiday group manager can view each other's holidays. It's possible to allow all users to see each other's holidays if required, too.
     
  • Allow public holidays to be set per year/every year or for different locations
    Public or common holidays can be set per Zone and set to apply every year or just for the current year. This means different global days off can be set for different locations.
     
  • Manager functions
    Managers can approve/reject requests as well as edit or override bookings on behalf of users
     
  • A way to see who is available or away at a glance
    'Who's Out'  (on the front end of the planner and optional page component) will list absences for the day a user is allowed to see
     
  • Hide certain day types from the component
    Set the component to only show certain day types and not others, e.g., bereavement, medical leave, etc

 

What the planner can't do

e.g.

  • Support users whose shift patterns change frequently
    The working pattern is set per group and can be changed, but this is a completely manual process and affects the whole holiday year. It cannot be applied to just a portion of the year, x months/weeks or change on a certain frequency.
  • Support approvals from more than one person
    Claromentis only supports approval from the manager or a substitute, depending on who is available when the request for approval was made. There is no functionality to allow more than these representatives to approve.
  • Send approval notifications to anyone other than the manager or substitute manager
    It's required for holiday groups to have a manager and/or substitute set. Currently, Claromentis cannot work with a different person/field/role outside this, e.g. using the manager on the user's profile.
  • Work in hours to make bookings (rather than days)
    The holiday planner cannot support hours as a metric at this time; users can book whole days or half days as standard.
